EA to CEO & CFO / Office Manager - FinTech, City

Our client, a fast-growing international fintech company, is seeking a proactive and highly organised Executive Manager / Office Manager to support its continued growth (3-4 days in office).

Since its acquisition two years ago, the company has scaled rapidly, with a global team of 75 across London, Europe, the Middle East, and Asia. This is an exciting opportunity to join a dynamic, high-performing environment.

This new and pivotal role combines Executive Assistant duties for the CEO and CFO with Office Management and HR Administration responsibilities.

Key Responsibilities:

Executive Assistant to the CEO & CFO:

  • Provide high-level administrative support, including complex diary management and scheduling across multiple time zones.
  • Prepare materials for executive meetings, presentations, and reports.
  • Manage sensitive information with the utmost discretion.
  • Coordinate domestic and international travel, including detailed itineraries and logistics.
  • Assist with ad-hoc projects, strategic tasks, and research as needed. 

Office Management:

  • Oversee daily office operations to ensure an efficient, well-run environment.
  • Manage office supplies, equipment, and vendor relationships to maintain cost-effectiveness and quality.
  • Liaise with building management and service providers to coordinate office maintenance.

HR Administration:

  • Maintain accurate employee records and manage HR databases (BambooHR).
  • Support onboarding and offboarding processes to ensure a seamless employee experience.
  • Assist with internal HR processes, including absence tracking, benefits administration, and policy updates.
  • Help organise team events, training sessions, and employee engagement activities.

  • Proven experience in executive support and office management roles.
  • Strong organisational and multitasking skills, with the ability to prioritise effectively.
  • High attention to detail and a proactive, problem-solving approach.
  • Excellent communication and interpersonal skills, with the ability to build strong relationships at all levels.
  • A high level of discretion and professionalism when handling confidential information.
