EA to Public Figure, Remote

Vacancy Description:

Seeking an experienced and dynamic Executive Assistant to support our client who is a public figure. With a diverse background in British politics, international relations and public speaking, the individual you’d be supporting is incredibly bright, engaging and a big thinker. The support required will be full on with a large volume of organising international travel across multiple time zones and an ever-changing diary.

To deliver the job successfully, the Executive Assistant will need to have exceptional attention to detail, militant with timings, excellent logistical and organisational skills and be able to multitask and prioritise effectively in changeable circumstances. 

The position would be remote therefore will require someone who is confident and comfortable with a home set-up. Our client is currently based in London, and is looking for EAs who are able to be in London once every week or two as needed. While the client is normally London based, he will be travelling between Switzerland, as his predominant base in the new year, and Connecticut for his work, so it's pivotal that you are confident in working with multiple time zones.  

Responsibilities will include: 

  • Extensive diary management; primary point of contact - both internally and externally, including dealing with very high-level external stakeholders and VIPs 
  • Extensive travel booking, often changeable and complex, visa applications 
  • Arranging conference/video calls across various time zones whilst proactively ensuring diaries reflect shifting priorities 
  • Supporting with all sections of the Exec’s business life (podcast, media, speaking engagements, book and podcast tours, financial/tax records and organisation)
  • Schedule meetings (support effective time management) and handle a wide range of media requests, speaking event enquiries and negotiations
  • Organise events and related requirements such as briefings, speeches, media /communications
  • Develop excellent working relationships, building trust and maintaining strong communications
  • Ensuring Exec has all the relevant information, briefing and other documentation needed on a daily basis
  • Maintain and develop effective systems and processes to run the office effectively.
  • Personal support such as medical/dental appointments etc. 
  • Organise celebrations, dinners, holidays – liaising with partner’s Assistant
  • Invoicing via Xero

 What we are looking for:

  • Experience working as an EA at a global level, c-suite / working in an international context
  • Exceptional use of tech within the workplace
  • Experience using Xero for invoicing is desirable 
  • Confident with Gmail calendar 
  • Self-starter with strong initiative
  • Good at anticipating issues and a resourceful problem solver 
  • Strong communication skills, both written and oral
  • Flexible, resilient under pressure, and decisive, with the ability to deliver quickly and to a high standard
  • High emotional intelligence
